Your reply to a review is read by every future customer who sees it. Paste a review, positive or negative, and get a professional response that thanks the reviewer, deals with the specific issue and shows others how you treat people.

How to respond to a negative review

Thank them, name the specific problem, apologize for the experience without making excuses, say what you've changed, and offer to continue the conversation offline. Arguing publicly almost always looks worse than the original review.

Reply to good reviews too

A short, specific thank-you that mentions what they liked shows you read it and encourages others to leave reviews. Generic 'Thanks for your review!' replies don't.

What never to write

Don't share details about the customer's visit or account, don't offer refunds publicly unless you mean to, and never ask someone to change their rating. Review platforms restrict incentivized or pressured edits.

Suspicious reviews

If a review looks fake or breaks the platform's content rules, reply calmly and flag it through the platform's reporting process instead of accusing the reviewer.

Questions

Should I respond to every Google review?

Responding to all reviews, or at least all negative and detailed ones, shows customers you are listening.

How fast should I respond to a bad review?

Within a day or two if possible, after you've checked what happened.

Can I use it for Yelp or Tripadvisor reviews?

Yes. The replies work on any review site; follow that site's rules about offering incentives.
