A termination letter is the written record that a person's employment is ending. This termination letter generator is for employers, managers and HR staff: enter the company, the employee, the type of termination, the effective date and the facts, and it drafts a short, neutral letter. It states only what you typed and marks everything else with a [placeholder] for you to fill in.
What an employee termination letter normally includes
Most letters of termination of employment cover the same points: the date of the letter, the employee's name and role, the effective date of termination, and the reason where it is appropriate to give one. They then explain practical matters - when and how the final paycheck will be paid, what happens to benefits, which company property must be returned and by when, and who to contact with questions. In the US, the benefits paragraph often points to separate information about continuing health coverage, commonly known as COBRA. Keep each point to a sentence or two.
Keep it factual and respectful
The letter may be read later by people who were not in the room, so stick to facts you can support with records: dates of warnings, the policy involved, the business reason for a layoff. Leave out opinions about the person, and never refer to age, race, sex, religion, disability, pregnancy, national origin or other protected characteristics. The generator is built to follow the same rules and will not add incidents, warnings or amounts that you did not provide.
Have the letter reviewed before it goes out
Employment law varies by state and country. Rules on notice, final pay timing, severance and what must be given in writing are not the same everywhere, and a contract or union agreement can add more. Treat the output as a draft termination letter template and have HR or an employment attorney review it before it is sent. This tool gives general drafting help, not legal advice.
How to use the generator
Pick the type of termination, enter the effective date, and paste the facts into the details box: prior warnings with dates, final pay arrangements, benefits information, property to return and a contact person. The result is the letter plus a checklist of items to confirm. For the other end of the employment cycle, see the Job Offer Letter Generator, and for wider people questions try the HR Assistant.
Questions
Does a termination letter have to state the reason?
It depends on where you are and on any contract in place. Some places require written reasons in certain cases and others do not. Many employers give a short, neutral reason so the record is clear. Ask HR or an employment attorney what applies to you.
What is the difference between a layoff and a termination for cause?
A layoff ends a job for business reasons such as a position being eliminated, and is not about the person's conduct. A termination for cause is based on performance or misconduct. The letter should name the right one because it can affect benefits and references.
Who should sign and deliver the letter?
Usually the employee's manager or an HR representative signs it. Many employers hand it over in a private meeting and keep a copy in the personnel file.
Can I use this for a contractor or freelancer?
The tool is written for employees. Ending a contractor agreement is governed by the contract itself, so follow its notice terms and have the wording checked.
Will the generator add details I did not give?
No. It is instructed to use only your facts and to leave square-bracket placeholders for anything missing, such as the final pay date or the contact person.
